Removing a leaver from ChatGPT, Claude and Copilot without paying for the empty seat
Removing someone from an AI tool and stopping the bill for their seat are often two separate steps. Remove the person and their access ends, but the seat can stay on your invoice until someone with billing rights reduces it. Here is what each common plan does, checked against each vendor’s help pages on 3 October 2026.
ChatGPT Business
- Remove the member: in Workspace settings, open Members, choose the person’s more options menu and select Remove member. Owners can remove anyone; admins can remove members with a lower role.
- The seat stays billable: OpenAI says removing a member ends their access immediately but does not remove the seat from the billable count.
- Remove the seat: a workspace owner opens Users in Members and selects Manage seats. Billing for that seat stops from the next billing cycle.
ChatGPT Enterprise
- Remove the member from Workspace settings, Members, in the same way. Members managed through SCIM are removed in your identity provider instead.
- Seat billing follows your contract. Enterprise seats are reconciled under the terms of your order form, so check with your OpenAI account team before assuming a removed member lowers the bill.
Claude Team
- Remove the member: in Organization settings, open Members, choose the menu next to the person and select Remove from team. Admins and above can do this.
- The seat stays on the plan: Anthropic says removing a member frees their seat for reassignment but does not reduce your total seat count.
- Reduce seats: an Owner or Primary Owner opens Organization settings, Organization and access, selects Manage under Total seats and reduces the seat type. The reduction takes effect at your next renewal, with no prorated refund.
Claude Enterprise
- Remove the member from Organization settings, Members, as for Team.
- Seats cannot be removed mid-term on self-serve Enterprise plans. Reductions take effect at renewal. On sales-assisted plans, ask your account manager.
Microsoft 365 Copilot
- Unassign the licence: in the Microsoft 365 admin center, open Users, Active users, select the person, then Licenses and apps, clear Microsoft 365 Copilot and save.
- The licence stays on your subscription. Unassigning frees it for someone else. To stop paying for it, remove licences from the subscription under Billing, Your products.
- Timing depends on your agreement. Microsoft only allows licence removals in limited windows, for example within seven days of buying or renewing on some billing accounts. If you bought through a reseller, ask them.
GitHub Copilot Business and Enterprise
- Confirm the grant and access-removal path. GitHub documents immediate loss of Copilot access when a person is removed or suspended from the granting organisation or enterprise. Enterprise-team access has a separate removal path.
- Organisation seat cancellation can leave access until cycle end. The organisation revoke-access procedure says this for seats revoked through that route. Confirm the access outcome rather than assuming a seat cancellation offboards the person.
- Billing runs to the end of the cycle with no refund for unused time. The lower seat count applies from the next cycle.
A leaver routine that stops the bill
- List every AI tool the person used. An AI tool register makes this quick.
- Remove their access in each tool.
- Reduce the seat or licence count where the plan needs a separate step, or reassign the seat to a new joiner.
- Note the date each reduction takes effect, especially on annual plans.
- Check the next invoice.

Reconcile seats before the next renewal
After a leaver, reconcile the remaining members, invitations and paid seat types before the next renewal. Claude’s member CSV export can help with that check; keep it in controlled company storage. Record the reviewed date, decision and effective billing date in your working record, not just “person removed”.

Common questions
Does removing someone from ChatGPT Business stop the bill for their seat?
No. Their access ends, but the seat stays billable until a workspace owner removes it under Manage seats. Billing then stops from the next billing cycle.
Does removing a member from Claude Team reduce our seat count?
No. It frees the seat for someone else. An Owner must reduce the total seats, and the reduction takes effect at your next renewal.
Can we reduce Claude Enterprise seats mid-contract?
Not on self-serve Enterprise plans, where reductions take effect at renewal. On sales-assisted plans, ask your account manager.
